Engineer’s associations are made with the goal to facilitate communication between like-minded engineers working in the same field with the aim to share technical knowledge and development. Another role of these associations is working to develop uniform codes and safety measures in the industries related to their field. These associations also work to protect the rights of their members and influence policies related to them. They also support educational programs and back their members in their careers.
There are various types of engineer’s associations: some are focused on practical application and work to improve and promote the industry related to them. Others lay more emphasis on research and technological advancement. These associations are behind the majority of research publications that come out each year. The number of members, mission statements, and the scale and range of activities in each association differ.
Whenever the officeholders of the engineering association issue a document. No matter if it is a membership form or a call for research papers or a letter announcing an event, it is always published on a Letterhead.
A letterhead is a document having the basic information about any company/organization and it is the official template on which all important internal and external communication is done. The reason for using letterheads is to give the written content air of professionalism and lend it the authority required for the contents of the letter to be taken seriously.
As there are various types of engineering associations each having a different mission with varying scale and range of activities the exact contents of the letterhead would differ slightly, but a general outline would be like this:
- Name of the Association: The name of the association is the most important part of the letterhead as it identifies the sender, hence it should be written in a bolder font in a prominent position. Some companies place it in the middle on the top. The type, color, and size of the font should be such that the name is written very prominently.
- Logo: A logo is something that makes instant identification possible. So it must not be ignored and placed right beside the name whether it is in the middle of the header or on the top left.
- Tagline or mission statement: Every engineer’s association is made with a different goal and has a mission statement reflecting that goal. This mission statement should be written under the name of the association in the header. The font should be smaller than that of the name but it should be legible.
- Address: Since one of the goals of the association is to connect people, it is important that all the contact information is readily available. Hence the complete address of the office of the association should be written in the footer. It is usually placed on the lower left-hand side of the footer.
- Email address: It is important to mention the email address where the members can get in touch with the officeholders. This is the primary source of contact hence very important it should be placed in the middle of the footer.
- Website address: The association’s website is where all the announcements of the upcoming events are made. This is where the members come to access the research publications and other resources being offered by the association. The website address should be written in the middle of the footer below the email address.
- Phone numbers: The phone numbers along with the area codes should be mentioned in the footer of the letterhead.
Letterheads give the first impression of the association so great attention to detail is required. The font used, the color and size of the font, the information included and even the paper on which it would be printed should be chosen with great care to give a professional and impressive look to the letterhead as it also serves as a free marketing tool. The information printed should be correct and written in a clear and legible font so that it makes it easy for the members or prospective members to access the association.
